One critical inefficiency has persisted for decades in the field of construction and material logistics, i.e., outdated, handwritten proof of delivery (POD) documentation.
Recognizing the mounting costs, disputes, and delays caused by illegible or misplaced paper forms, Ken Trent, Founder and CEO of ezPOD.app, decided it was time for a smarter, modernized solution.
After more than 20 years in eCommerce and SaaS, including leadership roles at Amazon, Bandai-Namco, and Builders Capital, Trent brought his deep technical and operational expertise to solve a problem that was slowing down an entire industry.
Creating a “Single Source of Truth”
The inspiration behind ezPOD.app was born from Trent’s experience in construction finance, where he led a division focused on material orders. “So many material providers are still using carbon copy PODs,” he recalls. “It’s actually kind of concerning.”
Each time a delivery was delayed, disputed, or misread, projects would stall and relationships would strain. The mission became clear: create a single, digital source of truth accessible to all stakeholders, such as material providers, contractors, and lenders alike.
From Paper to Smart Digital Workflows
The ezPOD platform replaces outdated paper trails with digital workflows enhanced by GPS tracking, photos, and timestamps. What makes it stand out is not just modernization, but accessibility.
“Our customers love that they can finally abandon their paper PODs without having to completely overhaul their existing systems,” says Trent.
Through AI-driven automation, users can even upload old paper PODs, which the platform digitizes by extracting key details such as material descriptions, quantities, and delivery addresses. This blend of familiarity and innovation has earned ezPOD rave reviews across early adopters.
A Fair, Simple Pricing Model
Unlike traditional SaaS systems with complex licensing fees, ezPOD.app embraces a pay-per-use model, $2.99 per POD for material providers and free for contractors and drivers.
Trent explains, “It’s important to us to offer value to our customers. While we could have charged a per-user subscription fee, I realized that some companies could have dozens of people that might need access or visibility to PODs, everything from drivers to operations teams, to finance teams, to leadership, and it just didn’t make sense to me for them to need to pay monthly while only accessing PODs occasionally. It also reflects our goal for simplicity, a pay-per-use model means that smaller operations, considerate of every dollar, will pay less, while larger operations with bigger budgets will still find value by not needing to pay extra for occasional users of our platform.”
By aligning costs directly with use, ezPOD ensures that both small operations and large enterprises receive measurable value without financial strain.
Insights from the Open Beta
When ezPOD launched its open beta in July 2025, the team gathered extensive user feedback that shaped its next wave of features.
One of the standout learnings was the need for error-free workflow standardization for drivers. The team responded by introducing QR code-linked PODs:
- Each POD is assigned a unique QR code, printed and attached to the physical materials.
- Drivers scan the code when loading to mark “Out for Delivery.”
- Upon arrival, they scan again to mark “Delivered” and collect a digital signature from the recipient.
This workflow eliminated confusion, ensured real-time tracking, and provided visibility for every stakeholder, all in a matter of seconds.
Multi-Stakeholder Design: Built for Every Role
Unlike traditional systems designed for a single user type, ezPOD caters to material providers, contractors, and lenders, each with tailored user interfaces:
- Material Providers: Can create PODs, assign roles, and manage drivers.
- Drivers: Can update delivery statuses in real-time with QR code scans.
- Contractors & Lenders: Have view-only access for tracking and verification.
Trent says, “Users can, of course, have multiple roles on the same account, but offering a limited scope of features based on account type makes the user experience much cleaner and more simple, which we believe helps to create a more delightful customer experience.”
Scaling Smartly with Quality Over Speed
Like every tech startup, ezPOD balances rapid innovation with quality assurance and the best user experience possible.
Trent admits that finding this equilibrium was one of the company’s biggest early challenges. “We addressed this by relentlessly prioritizing and choosing the features that we believe satisfy the core needs of our customers while maintaining a high level of quality with the features that we do deliver. We also take user feedback very seriously and work to incorporate user-requested features as quickly as possible, merging these requests into our roadmap of planned features where we believe we can deliver the most value to the most people,” he says.
User feedback drives the roadmap. When testing revealed overly complex workflows, the team simplified them, reducing button clicks, auto-filling project details, and minimizing manual entry.
A key example is the “Projects” feature, allowing users to group deliveries under specific projects so that addresses and relevant data auto-populate, making repeat tasks faster and smoother.
Emerging Trends in AI, Integration, and Instant Funding
Trent sees the next wave of transformation in AI-driven scheduling and system integration across the construction ecosystem.
As delivery networks and financial systems connect more intelligently, he predicts:
- Delivery times will shrink from days to hours.
- Funding cycles between lenders, contractors, and suppliers will compress from weeks to minutes.
“Our goal is to help facilitate these improvements and provide a value-add bridge for companies who need a solution, but do not want to invest the resources necessary to build these solutions themselves,” says Trent.
Building an Agile, User-Focused Team
At the core of ezPOD’s culture is a commitment to user empathy. Great scoping and feature testing help tremendously in this effort to make a better user experience and a better product. The team is encouraged to “use the product as if they were the customer.” This hands-on approach ensures that even small friction points are identified and fixed early.
Measuring Impact
For ezPOD.app, success isn’t measured by downloads or vanity metrics; it’s measured in reduced disputes and time saved.
Every second shaved off a delivery update or every avoided argument over unclear handwriting represents real value. By digitizing and automating proof of delivery, ezPOD helps restore trust, improve communication, and accelerate cash flow for everyone in the supply chain.
What’s Next for 2025 and Beyond
Over the next 18 months, ezPOD is laser-focused on three priorities:
- Refine the core platform to make proof of delivery even faster and simpler.
- Expand automation tools that reduce manual processes across multiple-party deliveries.
- Develop new features for lenders, such as installation verification and secure documentation storage.
The company’s long-term goal? To make proof of delivery so seamless that it becomes invisible, a background process that just works, enabling builders and suppliers to focus on what really matters: building the future of America.
Words of Wisdom for Entrepreneurs
Trent offers practical advice for founders entering traditional, analog industries:
“Deeply involve yourself in the early days. Use your own product, find what frustrates you, fix it, and repeat. Keep listening to customers and iterate relentlessly, eventually, you’ll get there.”
“If a feature annoys you, it’ll annoy users,” Trent explains. “So fix it before it ships.”
This philosophy keeps the startup nimble, responsive, and laser-focused on building a tool that truly solves real-world problems.
